Our policies relating to personal information are designed to ensure that you are fully protected under Australian Privacy Laws. We are committed to abiding by the Australian Privacy Principles as set out in the Privacy Act 1988 (Cth).

Personal information

“Personal information” means information or an opinion (whether true or not) about an identified individual, or an individual who is reasonably identifiable. This includes details such as your name, contact information, financial circumstances, and health data.

Why we collect your personal information

We collect personal information when you apply for financial planning, financial products or services, insurance policies or related services, and to update our records. We may also collect your personal information for the purpose of direct marketing (e.g. newsletters or updates that may interest you) and for managing our relationship with you. We may disclose personal information for the purposes for which it was provided, or for secondary purposes where you would reasonably expect it. We may also disclose to third parties or contractors acting on our behalf who agree to adhere to this policy.

How do we collect your personal information?

Where reasonable and practical, we collect your personal information directly from you. We may also collect it from product providers, accountants, lawyers, or other authorised representatives.

Do we disclose your personal information?

We may disclose your personal information to organisations involved in administering your finances, to associated businesses, to legal or accounting professionals, to service providers, or where required by law (e.g. under the Anti-Money Laundering and Counter-Terrorism Financing Act 2006). Prior to disclosure, we take steps to ensure the recipient protects your personal information or you have given consent. Personal information may be stored in cloud systems, including offshore servers.

Direct marketing

We may use your personal information to send you updates, newsletters or relevant product information. You can opt out at any time by contacting us or using the unsubscribe feature in emails.

Updating your personal information

It is important to us that the information we hold is accurate. Please notify us of any changes to your personal information. We generally rely on you to provide up-to-date details.

You may request access to or correction of your personal information. Requests will be responded to within seven days and resolved within 30 days where possible. We may charge a small fee for processing access requests. Where access or correction is denied, we will provide reasons.

Using government identifiers

If we collect government identifiers, such as your Tax File Number (TFN), we only use or disclose this information as required by law.

Business without identifying you

You may deal with us anonymously where lawful, practicable and reasonable. However, identification is generally necessary to provide financial services.

Sensitive information

We collect sensitive information only with your consent. This includes details such as racial or ethnic origin, political opinions, trade or professional memberships, sexual orientation, criminal record, or health. We collect it only when: (a) required by law; (b) necessary to provide financial advice; or (c) required by financial product providers. We will not disclose it without your express consent unless required by law.

How safe and secure is your personal information?

We store personal information securely in both physical and electronic formats and take reasonable steps to protect it from misuse, interference, loss, and unauthorised access or disclosure.

Use of Artificial Intelligence (AI) Technologies

As part of our ongoing commitment to efficiency, innovation, and service quality, our business uses artificial intelligence (AI) technologies to assist in internal operations and client service delivery.

1. Use of ChatGPT and Microsoft Co-Pilot

We use ChatGPT (by OpenAI) and Microsoft Co-Pilot as part of our day-to-day business activities. These tools are used to improve productivity, enhance document preparation, and support research and administrative functions.

2. Protection of Personal and Sensitive Information

  • ChatGPT: We do not input or share any personally identifiable, sensitive, or confidential client information into ChatGPT. All interactions are limited to generalised, de-identified, or hypothetical data to ensure compliance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

  • Microsoft Co-Pilot: Where client information is accessed through Co-Pilot, it occurs within our secure enterprise Microsoft 365 environment, which is subject to enterprise-level privacy, security, and compliance controls. Co-Pilot’s access is restricted to the organisation’s internal “work” environment, and data is governed by Microsoft’s enterprise data protection framework and our own internal privacy policies.

3. Data Security and Compliance

We maintain robust safeguards—including encryption, access controls, and regular audits—to ensure all client information remains secure and confidential. Our use of AI is consistent with our obligations under the Privacy Act 1988 (Cth), the Corporations Act 2001 (Cth), and applicable ASIC Regulatory Guides relating to information handling and data protection
